FrontOffice helps local businesses follow up with customers who called but didn't get through. When someone calls a business using our service and the call goes unanswered, we automatically send a text message on the business's behalf. This policy explains what information we handle in the process and how we protect it.

What information we collect
Your phone number
When you call a business that uses FrontOffice, your phone number is captured through caller ID via our telephony provider, Twilio.
Call logs
We log the date, time, and your number for each inbound call. We don't record or store audio.
SMS/MMS conversation history
We store the content of messages exchanged between you and the business — including automated messages we send on their behalf and any replies you send back.
Lead and appointment details
If you share your name, service needed, location or service area, availability, or book an appointment through our platform, we store that information so the business can follow up appropriately.
Business account information
For business owners using FrontOffice, we collect your name, email, business name, and phone number to configure and run the service.
How we use your information
Everything we collect is used to power the service — nothing else. Specifically:
- Sending automated SMS/MMS follow-up messages on behalf of the business you called
- Qualifying your inquiry by asking for relevant details (name, service needed, location or service area, availability)
- Scheduling appointments and sending booking confirmations
- Sending appointment reminders, service completion notifications, waitlist updates, and review requests
- Giving the business owner a conversation history to review and respond to
- Improving the reliability and safety of the platform
We do not use your information for advertising, re-targeting, or anything unrelated to the conversation you started by calling that business.
How long we keep your data
Call logs and SMS/MMS conversation history are kept for 12 months from the date they were created, then permanently deleted. Appointment records tied to a conversation are deleted at the same time.
Business account data is kept as long as the account is active. If an account is closed, all data is deleted within 30 days.
You can request earlier deletion of your data at any time — just email support@frontofficedesk.com and we'll take care of it within 30 days.
Who we share data with
We don't sell your data. We don't share it with advertisers. Mobile phone numbers are never shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. The only parties that ever touch your data are the infrastructure providers we use to run the service:
Twilio, Inc.
Handles SMS and MMS delivery. Your phone number and message content pass through Twilio to reach you.
Anthropic, PBC
Powers AI-generated responses. When you reply to a message, your text may be sent to Anthropic's API to generate an appropriate response. No identifying info beyond message content is shared.
Supabase, Inc.
Our database provider. Stores conversation history, lead records, and business account data securely.
We may also disclose data if required by law, a valid court order, or a government authority.
TCPA compliance
We take messaging compliance seriously. Text messages are only sent to people who first called a FrontOffice-powered business number. Before the call ends, the caller hears a voice greeting disclosing that a follow-up text will be sent to their number, that message and data rates may apply and message frequency varies, and that they can reply STOP to opt out or HELP for help. Consent to receive messages is not a condition of purchasing any goods or services.
Opting out
You can stop messages at any time. Just reply STOP to any message. You'll get one confirmation and nothing after that. To restart, reply START. For help, reply HELP or email support@frontofficedesk.com.
Cookies
The FrontOffice business dashboard uses session-only cookies to keep you logged in. We don't use tracking cookies, advertising cookies, or third-party analytics. Session cookies disappear when you close your browser.
Children's privacy
FrontOffice is not designed for or directed at anyone under 13. If you believe a child has somehow provided us with personal information, email us and we'll delete it right away.
Governing law
This Privacy Policy is governed by the laws of the State of North Carolina.
Updates to this policy
If we make meaningful changes to this policy, we'll update the date at the top of the page. Continuing to use FrontOffice after an update means you accept the new policy.
